How to reply to Instagram and Google ad enquiries faster
Reply within minutes, on WhatsApp, with a real answer and a specific time offered. Ad enquiries go cold faster than any other kind because the patient is comparing clinics in that moment — an hour later they have usually already spoken to someone else.

Someone tapping an ad for a hair transplant consultation at 10pm is not loyal to you. They are in research mode, and they have probably tapped two other ads in the same session.
The clinic that replies first is in the conversation. The clinic that replies at 10am the next day is sending a message to someone who has already booked. This is the single largest leak in most clinics' ad spend, and it is not a targeting problem or a creative problem.
What does a good first reply look like?
It answers the question that was actually asked, and it offers something concrete.
"Thanks for your enquiry, our team will contact you shortly" is not a reply. It confirms receipt and asks the patient to keep waiting. A good first reply gives the fee range or the information they asked about, and offers two or three specific appointment times.
- Acknowledge what they asked about by name
- Answer it, within the limits your clinic has approved
- Offer two or three specific slots
- Make it clear a person is available if they want one
How fast is fast enough?
Minutes, not hours. The practical target is a first reply inside five minutes at any hour, including a genuine answer rather than an acknowledgement.
That is difficult for a human team to sustain across evenings and Sundays, which is precisely why this is a sensible job to automate — with a person able to take over the moment the conversation needs one.
Where should the conversation happen?
WhatsApp, in almost every case in India. A form that promises a callback adds a step and a delay. An email reply to an enquiry made from a phone at night will not be read.
Where you can, send ad traffic to a WhatsApp conversation directly rather than to a form. Fewer steps, faster reply, and the thread stays available to the patient afterwards.
What should you measure?
Two numbers, weekly. Median time to first reply, and the share of enquiries that become booked appointments.
Clinics usually discover their median reply time is far worse than they believed, because the fast replies during clinic hours hide the twelve-hour gaps overnight. Measuring the median rather than the average makes that visible.
Common questions
An immediate useful answer is better than silence. Make clear when a person is available, and have one follow up in the morning.
